Cash returns

Return one whole item without losing the original sale.

A cash return starts with the original settled sale. Confirm the whole item came back, record its condition, and let a different manager approve the refund. The piece stays in quarantine.

01 · Find

Start with the original sale.

The return is tied to a settled cash sale in the same store. A clerk can look up a sale they recorded; a manager can review any eligible sale in that location. The lookup shows the item, the original net cash total, the original till and the original receipt hash.

The original tax and receipt stay attached to the sale. The return reverses the recorded net total rather than recalculating today’s tax or price.

  • One settled cash sale.
  • The same store.
  • One whole item.
  • USD only.
The sale reference

The original sale ID is on the receipt. The return does not begin from a new estimate or a typed price.

02 · Request

Record what came back.

The requester confirms the complete item was physically returned and records a condition note. Submitting the request moves no cash and no stock. It creates a pending return for independent review.

  • The complete item was returned.
  • The condition was reviewed.
  • The note stays with the return.
  • No cash or stock moved.
Whole item only

A partial item, an exchange or a card sale is outside this workflow.

03 · Approve

A different manager approves.

The person who requests the return, and the original seller, cannot approve it. A different manager, administrator or owner reviews the pending request, chooses an open till in the same store, records an approval note and approves the cash refund.

The original till stays on the record for attribution. The refund comes from the till the approver selects, and the original net cash total is reversed once.

  • A different manager.
  • An open same-store till.
  • The original net cash total.
  • One recorded refund.

04 · Quarantine

The piece goes to quarantine.

Approval changes the item from sold to return quarantine. The returned piece is not available for sale. The original sale, request, approval and cash movement stay together for review.

  • Returned stock is quarantined.
  • The piece is not saleable.
  • The original receipt is retained.
  • The refund is recorded once.
The return stops here

This workflow covers the return and quarantine. It does not put the piece back into saleable stock.

Scope

What this return covers.

This is a cash return for one whole item. It does not process cards or move money back to a card. It does not handle exchanges or accept part of an item. It does not choose a legal return window or recalculate the original tax.

  • Cash only.
  • One whole item.
  • No exchange or partial return.
  • No automatic restock.

The return keeps the original receipt and records the refund against it. The record is evidence of the refund and quarantine; it does not make the piece saleable.

Bring the original cash receipt.

A settled cash sale, the whole item and a manager who did not record the sale make the return concrete.
