Inspections & evidence
Keep the details.
Keep their source.
Keep measurements, statements and photographs distinct, with their source and the unknowns still visible.

A hypothetical weight reconciliation. Six carats is the total for the whole row, not six carats per stone.
Describe components without flattening the piece.
A ring can contain more than one alloy and more than one group of stones. Troctolite records up to twelve metal components, twelve stone groups and twelve test, certificate or observation entries in a structured inspection. This evidence sits alongside the primary pricing record; saving it does not rewrite the item’s buying inputs.
A metal row has a label, metal, weight, purity, markings and notes. A stone row records type, quantity, total carats, stated identity, shape, color, clarity, treatment and notes. The weight is for the whole row: three stones totaling six carats contribute 1.20 g, not three times that weight.
The example is deliberately incomplete about identity and treatment. Those unknowns remain visible. A label saying “natural” is an operator-recorded statement, not a verification performed by the software.

A hypothetical weight reconciliation. Six carats is the total for the whole row, not six carats per stone.
Unknown is different from zero.
A blank weight says it is not known. A recorded zero says the operator knows there is none. That difference keeps a partial record from appearing complete just because empty cells were treated as zero.
The weight check converts total stone carats to grams using exactly 0.2 g per carat and adds known component/material weights. Known weights that exceed observed gross are rejected; unallocated or incomplete measurements stay visible. A mismatch with the primary pricing weight is also flagged without silently changing the price basis.
| Record | Useful evidence | What remains separate |
|---|---|---|
| Metal measurement | Weight, purity and markings with an identified component. | An assay conclusion still needs its method and source. |
| Stone group | Quantity, total carats and recorded attributes. | Independent identification, valuation and certificate verification. |
| Test or certificate | Method, issuer/lab, reference, source, result and observation date. | A typed reference is not an external verification connection. |
| Weight reconciliation | Known grams, unknowns and unallocated weight. | A balanced scale total does not authenticate a piece. |
Attach the statement to its source.
A test, certificate or observation can apply to a component or the whole item. Record who or what issued the statement, its method, reference, stated result and date. Keep a customer-supplied certificate distinct from an assay performed at your counter.
Relink or remove draft evidence references before dropping their component. Each recorded revision retains its facts, weight reconciliation and server attribution.
If someone else records a newer inspection, your draft remains available for comparison. Loading the latest record preserves the earlier draft for recovery; keeping your draft against a newer basis is an explicit choice before another complete revision is recorded. This is a history of observations, not an invitation to overwrite the inconvenient ones.
A private photo is more than a thumbnail.
Select a JPEG or PNG, enter a caption if known and state the capture time the operator claims in UTC. Capture is not inferred from EXIF, file modification time or upload time. The server records its own time separately and associates the photo with the saved inspection revision you reviewed.
The supported slice allows six photos per item, each up to 4 MiB and twelve million input pixels. The server decodes the image, retains the original bytes and SHA-256, and creates a separately hashed, metadata-stripped preview. Original download and safe preview are different authorized operations.
Unsaved inspection edits are not silently used as the photo basis. If a connection fails, the selected file, caption, capture claim and upload request stay together. Checking that same upload can confirm an earlier success even after another inspection revision or the six-photo limit has appeared.

Access follows the item’s current custody.
A handoff between locations should not create a public file link. Photo routes check the item’s current store. In the two-location example, once a piece reaches Tempe, the old Scottsdale context loses photo access and authorized destination staff can follow the retained evidence. The recorded capture location remains provenance.
The photo manifest can also be frozen with a saved estimate. That preserves which photos were referenced then; it does not make later photos part of the older record. Historical replay shows manifest facts without automatically retrieving image bytes. Current authorization still governs file access.
Know the boundary of the evidence slice.
The current workflow records inspection facts and private JPEG/PNG evidence. PDF/document capture, governed removal and retention tools, correction workflows, OCR, external certificate verification and complete appraisal documents remain unfinished. Runtime AI is disabled and is not used to authenticate or price these photos.
Bring a hallmark photo, a supplied certificate reference and an uncertain stone identification. Ask how another staff member sees their source, how transfer changes access and what an older estimate preserves. Include a conflict or interrupted upload in the walkthrough.
